Fee collection

Cash, UPI, cheque, card, bank transfer or draft. Every rupee gets a numbered receipt, and no number is ever used twice.

How it works

One counter. No second receipt book.

A payment takes four steps at the window. The careful parts happen where the clerk never has to think about them.

At the fee counter

  1. Find the child. Name or admission number. Every unpaid month comes up, last session’s dues first.
  2. Take the money. Pick the mode and note the UPI reference, cheque number or UTR.
  3. Pay one month or six. The money settles the oldest bill first. A part payment leaves the rest due.
  4. Print the receipt. On an 80 mm receipt printer, A5 or A4, with the balance still due on it.

A double click is harmless

Press Collect twice on a slow network and you get the same receipt back, not two. Two desks can’t collect the same bill at the same time either.

Mistakes are cancelled, not deleted

Only an admin or the accountant can cancel a receipt, and only with a reason. It stays on file with who cancelled it, and its bills fall due again.

One series for every rupee

Library fines and certificate fees go on the same receipt series, so the day’s money is in one place.

Paying

Which ways can parents pay at the counter?

Cash, UPI, cheque, card, bank transfer (NEFT or IMPS) and demand draft. Paying online from a link is coming.

Receipts

What is printed on the receipt?

Your school’s name, logo, address and affiliation number, the child’s admission number, each month with its fee heads, any fine or concession on its own line, the amount in words, and the balance still due.

Cheques

What if a cheque is entered a few days late?

Enter the date the cheque came in. Any late fine stops on that date, not on the day it was typed.

Old dues

Can one receipt clear last year’s dues too?

Yes. Unpaid bills from the last session come up first, and the same receipt can settle both.
