Roles and access

Each person sees their part. The accountant sees fees, the librarian sees books, and a child’s medical notes stay with the people who need them.

How it works

Who sees what, settled before anyone signs in.

Roles in Scoolin are fixed and tested, so a slip in setup can’t open the fee register to a teacher. Here is how someone gets access.

Giving someone access

  1. Pick a role. Owner, admin, principal, accountant, front desk, teacher, librarian or staff.
  2. Invite them by email. They sign in with a one-time code, a link, a password, a passkey or Google.
  3. They see their part. Each role opens what it needs; the server holds back the rest.
  4. Change it any time. Move someone to a new desk, or switch off their login in one step.

Held back, not hidden

What a role can’t see is never sent to its screen. It isn’t greyed out; it isn’t there at all.

Medical is its own door

A student’s contact, medical and personal details are separate, so the front desk can ring a parent without reading a health note.

Guards you won’t need, until you do

The last admin can’t be demoted. Nobody changes their own role. Billing belongs to the owner, and ownership is handed over, never just removed.

FAQ

Questions about roles and access.

Still have questions?Ask us on a 30-minute call.

Roles

Can we make our own roles?

No, on purpose. The eight roles are fixed and tested. Give each person the one closest to their desk.

Teachers

Can a teacher see the fee register?

No. A teacher marks attendance and enters marks for the classes they teach. Fees are for the fee office.

Sign-in

How does staff sign in?

By email: a one-time code, a sign-in link, a password, a passkey, or Google. No shared office login.

Leaving

What happens when someone leaves?

Switch off their login in one step. Their record and past work stay.
