Reminders

Emails that go once, only to families who owe. Set the rules at the start of the session and stop thinking about them.

How it works

Write the reminder once. It sends itself.

A reminder in Scoolin is a rule, not a job for Monday morning. Here is one, from setting it up to the parent’s inbox.

Setting a reminder rule

  1. Pick the day. Any day from 60 days before the due date to 60 days after.
  2. Write the message. The child’s name, the month, the amount and the due date fill in for each family.
  3. Add how to pay. Your bank account, UPI ID and the school’s phone print on the letter.
  4. Save. Every hour Scoolin sends the ones that are due, to the families who still owe.

Never twice for one bill

Each rule goes once for each bill, and the database holds it to that. If the server is down, the reminder still goes when it is back, up to three days late, and not again.

Only the families who owe

Paid families are skipped and children who have left are not chased. Bills due on the same day go in one letter, not three.

Last year’s dues as well

Dues from the last session ride on the letter as their own line, so the family sees the whole amount in one place.

Channel

Do reminders go by SMS or WhatsApp?

Not yet. Today they go by email to each child’s primary guardian. WhatsApp and SMS are coming.

Sender

Whose name is on the email?

Your school’s. It goes from your own mail server if you have one, and replies come back to the school.

Mistakes

What if someone mistypes a placeholder?

The rule won’t save. A misspelt placeholder is caught before a single parent sees it.

Timing

Can we send one before the due date and one after?

Yes. Make as many rules as you like, each with its own day and its own message.
